- In the Control Panel's menu on the left, click on Main Number
- Select Update Incoming Call Handling from the table
You can select the way you want your callers to reach you during Opening Hours, After Hours, and Office Holidays (if enabled)
Virtual Receptionist
Virtual Receptionist will answer incoming calls professionally and automatically transfer them to an appropriate department or person.
- Add Route will allow you to set up call routes
- The dropdowns will present a list of Users, Devices, Media (recordings), Voicemail Boxes, and Ring Groups
- You can remove a call route by clicking the X to the right of the dropdown
Greetings can be recorded as follows:
- Text to Speech: type your greeting and hit update for the machine to announce your greeting
- Upload your own file: select your own recording as an .mp3 file and select update
- Choose from existing recordings: If you have previously uploaded a file, it can be selected
- Record it over the phone: use your phone to record the greeting, just follow the instructions outlined.
Incoming Call → Users → Virtual Receptionist:
Calls will come into the selected user first, then be routed to a Virtual Receptionist.
Example: Receptionist takes all calls first, if unanswered it goes to Virtual Receptionist to try route calls.
Incoming Call → Users → Voicemail:
Calls will go to the selected user first, then routed t their Voicemail.
Example case: No Virtual receptionist required, and all calls are directed to the users directly, or VM if not answered.
Once you are done, click Save Changes
